450 Vivup and Perkbox employees united for a day of conferences, networking, exhibitions, and a lively evening reception to build connection.

Project Overview

When Vivup and Perkbox, two of the UK’s leading employee benefits providers, joined forces, they wanted their teams to feel the same connection. With 450 employees meeting for the first time, the mission was simple: bring people together, spark collaboration, and create a sense of unity. Oh, and make it fun, relaxed, and engaging – while giving their partners a chance to shine.

We hosted the event at the Atrium Hotel in Heathrow, the perfect spot for remote, London-based, and international attendees to converge. The day kicked off with a conference featuring a fully branded stage, big screens, and dynamic lighting – all handled by our expert AV team. To keep the energy up, we brought in a fantastic compere who specialises in employee wellness. They steered the sessions, hosted lively discussions, and facilitated a Q&A with the CEOs, setting the tone for the day.

Networking got a playful twist with the ‘Enboarder’ app, which turned meeting new people into a game. Employees scanned QR codes on their lanyards to learn quirky facts about each other, answer fun questions, and rack up points for prizes. The agenda included inspiring leadership talks in the morning, an interactive panel in the afternoon, and even a graduation ceremony to recognise achievements. To keep spirits high, there was a prize draw for the networking game winners – because who doesn’t love a bit of friendly competition?

The exhibition area was a real hit, with 10 big-name exhibitors like Curry’s, John Lewis, and Tusker showcasing their offerings. We also added some interactive flair with electric cars and racing simulators. To capture the magic, our photographers and video team were on hand all day, covering every moment and snapping updated headshots for the leadership team.

The day ended on a high with an evening reception featuring welcome drinks, a buffet dinner, and a branded photobooth for fun snaps. A live six-piece band and DJ took the party into the night, keeping the dance floor buzzing. To pull it all together, we added bespoke event branding and digital signage, giving the entire event a polished, seamless vibe from start to finish.

Results

The conference and evening reception were a total win, bringing the newly merged teams together just as planned. By mixing smart tech with fun, interactive activities, the event broke down any “us and them” walls and got people genuinely connecting. Employees left feeling energised, appreciated, and excited about the company’s future direction.

The partner exhibition was a big crowd-pleaser too, giving everyone the chance to explore some fantastic offerings. Overall, the event didn’t just hit the mark – it smashed it, setting the stage for a strong, collaborative, and united future.
